Documents and records during service delivery

When providing a service, you may share documents or records with our coordinators. These are handled under separate confidentiality terms set out in our engagement scope letter. No copies are retained by Retirely after an engagement closes without your explicit consent.

Responding to enquiries: We use your name and contact details to reply to messages sent through our contact form. Legal basis: your consent (submission of the form).
Service delivery: Contact details shared when arranging a session are used to confirm appointments and send session materials. Legal basis: performance of a service contract.
Course administration: Participant details are used to send workbooks, recordings and reading lists to course attendees. Legal basis: performance of a contract.
Website improvement: Aggregated, anonymised analytics data helps us understand which pages are most useful. Legal basis: legitimate interest (improving our service). You may decline analytics cookies via our cookie banner.
Legal compliance: We may retain certain records as required under Malaysian law, including the PDPA and business registration requirements.

Enquiry and contact form data is retained for up to 12 months after the last correspondence, then securely deleted.
Service engagement records (names, dates of sessions, deliverables issued) are retained for 3 years for business record purposes, then deleted.
Course participant details are retained for 24 months after the course ends.
Analytics data is held in aggregated, anonymised form and is not subject to deletion requests as it cannot be linked to individuals.
